How long does implementation take?

Most StaffReady Scheduling implementations are completed in 4–5 weeks. Competency implementations typically run 6–8 weeks. Your timeline is established together at kickoff and is driven by your team’s availability and the complexity of your data — your Implementation Specialist will work with you to set a realistic schedule from day one.

What is the time commitment? 

Plan for 5–10 hours per admin per week, depending on the phase. This includes a weekly 1–2 hour standing meeting with your Implementation Specialist, plus time to complete assignments in the StaffReady Training Course and work through your intake data. Your Project Owner should also expect to monitor timelines and attend key milestone meetings. We build the schedule around your team — but the more consistently your admins can show up, the smoother the implementation goes.

Can you migrate data from spreadsheets or legacy tools?

Your Implementation Specialist works with you to collect and import your existing data — employees, shifts, rotations, availability, qualifications, and competency records — into your custom-built StaffReady license. The process is guided by a structured intake form designed to capture everything accurately the first time.

How do you handle implementations for multiple sites?

Multi-site implementations are supported. For larger or more complex rollouts — typically those involving more than 150 staff or three or more admin groups — we recommend assigning both a Project Owner and a dedicated Project Manager, sometimes organized by region or facility. StaffReady can assist with making staffing recommendations for your specific setup.

What happens after the go-live?

Go-live is the beginning of a new phase. Once your implementation wraps, you’re assigned a dedicated Customer Success Manager who becomes your long-term partner. Your Implementation Specialist stays available for an additional three months at no charge, including occasional questions via email and up to three 30–60 minute follow-up meetings. Your whole team also has unlimited access to the StaffReady technical support team Monday through Friday, 6am–5pm PST, for the life of your subscription. Free Admin 101 webinars are available ongoing for any new admins you bring on.

StaffReady is built to work alongside the systems your organization already relies on including timekeeping systems, HRIS, and metrics dashboards.
