Familiar Challenges

Have you experienced any of these before?

Manual scheduling wastes time, causes burnout, and increases risk. The pattern looks the same in almost every department.

Coverage scrambles
Callouts and a limited workforce turn every week into a round of phone calls to get shifts covered.
The schedule in someone's head
Rotations, qualifications, and unwritten rules live with one scheduler, and leave with them too.
Leave requests everywhere
Emails, sticky notes, and hallway conversations, reconciled by hand every scheduling cycle.
Trade email chains
One open shift produces a thread of replies that all say no, while the shift stays open.
Invisible open shifts
Unfilled jobs hide inside the grid until someone notices, sometimes the day of.
Scheduler turnover
When the scheduler is out or moves on, nobody else can safely touch the schedule.

When the Spreadsheet Stops Working

A spreadsheet is a fine place to start with scheduling. It stops keeping up the moment scheduling turns clinical: around-the-clock coverage, staff qualified for only certain jobs, rotations that must stay fair, and the constant question of whether the person on the bench is actually cleared to be there. This guide shows exactly where it breaks down, and what a real replacement looks like.

  • No single source of truthEmailed and printed copies drift out of date
  • One person holds the scheduleUnwritten rules live in one head
  • Nothing checks qualificationsA cell can't know who's cleared
  • Leave arrives from everywhereEmail, text, and sticky notes, reconciled by hand
  • Open shifts stay hiddenA gap looks just like a filled slot
  • It doesn't scaleEvery department becomes another fragile file

How It Works

Most of the work happens before you sit down

StaffReady runs an auto-build every night, so unworked schedules stay current with your latest settings until the moment you start editing.

Set the rules
Auto-build overnight
Finish on the manage grid
Publish
01
Set the rules

Job descriptions define which days each job runs, its priority, and who's qualified. Employee profiles hold availability, FTE targets, rotations, and recurring days off.

02
Auto-build overnight

Every night StaffReady runs the schedule automatically, matching qualified staff to open jobs based on your rules, so most of it is filled before you ever log in.

03
Finish on the manage grid

Open the manage grid and handle only the exceptions: swap, assign, or adjust the few shifts the auto-build left for you. Minutes, not hours.

04
Publish

Publish the finished schedule and staff see it instantly on their own calendar, with changes and open shifts updated in real time.

Inside the Software

The manage grid where schedules get finished

Every employee down the side, every day across the top. Unassigned jobs surface in the gold section instead of hiding in the grid, and the Home, Scheduling, and Staff modules keep each role's tools one click away.

Often Asked For, Built In

The features scheduling teams request most

Privacy Controls for Viewing Schedules

Decide who sees what. Staff only see published schedules, and visibility is under your control.

Shift Bidding

Offer an open shift to selected staff and collect every response inside the schedule instead of your inbox.

Leave Management

Staff request the leave types you enable, attach notes, and check whether a day is already spoken for. You review it all in one ordered list.

One System, Every Role

Simple for staff. Powerful for the people responsible.

Staff
Their Schedule, on Their Terms

Everything staff need lives on their own calendar.

  • See published assignments instantly, and export them to a phone or personal calendar
  • Request leave with a note attached, and see if a day is already requested
  • Share availability directly to the scheduler's view
  • Trade or give away a shift; it routes to the other person for agreement, then to the manager
Schedule Managers
Finish, Don't Build

The manage grid turns hours of building into minutes of finishing.

  • The auto-build fills the majority; the gold section shows exactly what's left
  • Hover any leave entry to read the employee's note
  • Move or copy jobs between people in a click
  • Shift bid gathers responses inside the schedule
  • Manually assign anyone when judgment calls for it
Day to Day
Quick Links for Everything Else

The welcome screen handles daily management without loading the full grid.

  • Publish or unpublish a schedule in one click
  • HTML and PDF schedule views, the same ones staff see
  • Leave requests in a filterable list, ordered by seniority or first-come, first-served
  • Confirm trades once everyone involved has agreed
  • Leave, overtime, and shift count reports to PDF or Excel

Scheduling that knows who's qualified

The auto-build only assigns jobs to people who are qualified for them, because StaffReady Scheduling integrates with StaffReady Competency data. It also connects to your HRIS or payroll system, so it fits the infrastructure you already run.

StaffReady is user friendly all around! Our associates love the ability to view the schedule from their personal device and initiate shift swaps on their own. From a scheduler's perspective, StaffReady is very easy to manage and has reduced the number of scheduler related emails I receive. I am so happy with this product and highly recommend it to anyone that manages a schedule.

We were spending nearly 11,000 hours per year with a salary cost of close to half a million dollars building schedules and managing all the subsequent changes. We're saving both time and cost by using StaffReady Scheduling, which also delivers a more dynamic and accurate staff schedule.

There is no more thankless job than managing schedules. I've managed schedules for 35 years and it is a contentious issue with an often negative impact on staff. I applaud you for finding a solution for such a complex problem.

Questions

Questions we get before the first call

The goal is well over half of your schedule filled automatically. The nightly cycle keeps unworked schedules refreshed with your latest settings, and anything the auto-build can't place waits clearly in the gold unassigned section at the top of the manage grid.
No. Schedules move through three statuses: automatic build, locked for editing, and published. Staff calendars stay blank for a period until you publish, and the moment you do, assignments appear on their calendars and they get real-time updates when you make changes.
An employee clicks their assignment and chooses to trade or give it away. The request routes to the other person for agreement inside StaffReady, then to the manager. The confirm button only appears once everyone involved has agreed, and you can deny a request at any point.
Leave requests arrive in a filterable list you can order by seniority using hire date, or by request date for first-come, first-served. Staff can also check whether a day already has requests before submitting, and any filtered list exports to print or Excel.
The auto-build only assigns jobs to people qualified for them under your job description settings. As a manager you can still manually assign anyone you like on the manage grid, so automation handles the bulk and judgment stays with you.
StaffReady Scheduling integrates with StaffReady Competency data, so qualifications inform the schedule as it builds. It also connects to your HRIS or payroll system. Implementation is guided; details are in our implementation and onboarding FAQ.
